Sycamore Hill Studios ("we," "our," or "us") operates the ZenMind AI mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and protect your information when you use our App.
By using ZenMind AI, you agree to the collection and use of information in accordance with this policy.
1. Information We Collect
1.1 Information You Provide
- Mood and Wellness Data: Emotional states, stress levels, concerns, and meditation goals you share during mood check-ins.
- Session Preferences: Meditation type, duration, voice, and soundscape selections.
- Journal Entries: If you use the journal feature, text or voice entries you create (Annual plan only).
- Account Information: If you create an account, your email address and display name.
1.2 Information Collected Automatically
- Usage Data: Session history, meditation minutes, streak data, and feature usage patterns.
- Device Information: Device type, operating system version, and app version.
- Crash and Performance Data: Error logs and performance metrics to improve app stability.
1.3 Information We Do NOT Collect
- We do not collect your precise location.
- We do not access your contacts, camera, or microphone (except when you explicitly use voice journal features).
- We do not track you across other apps or websites.
2. How We Use Your Information
- Personalization: Your mood and wellness data is used to generate personalized meditation sessions tailored to your current state.
- AI Processing: Mood data is sent to Azure OpenAI to generate meditation scripts. This data is processed in real-time and not stored by the AI service beyond the request.
- Audio Generation: Meditation scripts are converted to audio using Azure Speech Services.
- Insights and Trends: Your mood tracking data is analyzed to provide wellness insights and trend reports visible only to you.
- Service Improvement: Aggregated, anonymized usage data helps us improve the app experience.
- Subscription Management: Processing your subscription through Google Play Billing.
3. Data Storage and Security
- Your data is stored securely using Microsoft Azure cloud services (Cosmos DB, Blob Storage) with encryption at rest and in transit.
- Session audio files are stored in Azure Blob Storage and associated with your anonymous user ID.
- Local data is stored on your device using encrypted local storage (Room database, DataStore).
- We implement industry-standard security measures including HTTPS/TLS encryption for all data transfers.
4. Data Sharing
We do not sell, rent, or trade your personal information. We may share data only in these limited circumstances:
- Service Providers: Microsoft Azure (cloud hosting, AI processing, speech synthesis) processes data on our behalf under strict data processing agreements.
- Legal Requirements: If required by law, court order, or governmental regulation.
- Business Transfer: In connection with a merger, acquisition, or sale of assets, with notice to users.
5. AI and Automated Processing
- ZenMind AI uses artificial intelligence (Azure OpenAI GPT-4o) to generate personalized meditation content based on your mood input.
- Your mood data is sent to Azure OpenAI's API to generate scripts. Microsoft does not use this data to train their models.
- AI-generated content is for wellness and relaxation purposes only and does not constitute medical advice, therapy, or mental health treatment.
- The journal reflection feature provides guided self-reflection prompts, not therapy or counseling.
6. Your Rights and Choices
- Access: You can view all your stored data within the app (session history, mood entries, journal).
- Deletion: You can delete your account and all associated data by contacting us. We will process deletion requests within 30 days.
- Data Export: You can request a copy of your data in a portable format.
- Opt-Out: You can use the breathing exercises and timer features without providing mood data.
- Notifications: You can disable meditation reminders in your device settings.
7. Health Connect Integration
If you choose to connect with Google Health Connect:
- We write mindfulness session minutes to Health Connect.
- We do not read any data from Health Connect.
- This integration is optional and can be disabled at any time.
8. Children's Privacy
ZenMind AI is not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will delete it promptly.
9. Data Retention
- Session history and mood data are retained as long as your account is active.
- Cached audio files may be automatically cleared after 30 days.
- Upon account deletion, all personal data is removed within 30 days.
- Anonymized, aggregated analytics data may be retained indefinitely.

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy in the app and updating the "Last Updated" date. Continued use of the App after changes constitutes acceptance of the updated policy.
12. International Data Transfers
Your data may be processed in the United States through Microsoft Azure data centers. By using the App, you consent to the transfer and processing of your data in the United States.
